We're Hiring: Village Secretary

Title: Village Secretary
Reports to: Village Manager & Village Council
Salary: Non-Exempt Position starting hourly pay: $18 - $19.50, depending on experience. Part-Time 24- 32 hours per week, Monday - Friday 9:00am - 4:00pm with some flexibility.

About Us: The Village of Calumet is a charming, historic village nestled within a national historical park, currently undergoing a phase of exciting growth and redevelopment. As we enhance and preserve our village's unique character, we are seeking a dedicated and skilled Village Secretary, to be the face of our village and help shape the future of our community.
Job Summary: We are seeking a dedicated and detail-oriented Secretary to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. You will be the point of contact for internal and external communications, assisting with various clerical tasks while maintaining a high level of professionalism and confidentiality.
Responsibilities:
  • Handle incoming calls, emails, and visits, demonstrating excellent communication skills and a friendly demeanor.
  • Schedule appointments and manage calendars for Council and Manager.
  • Assist in preparing meeting agendas and minutes and filing documents accurately and timely.
  • Accounts payable processing, reporting expenditures, equipment rental recording, maintain file systems both electronic and physical.
  • Accounts receivable invoicing for sidewalk, snow, and other village activities. Maintain listings of contracts and certificates of liability.
  • Manage and organize office files, ensuring all documents are accurately maintained.
  • Perform data entry tasks with a focus on accuracy and attention to detail.
  • Support team members with various administrative tasks as required.
  • Other duties as assigned by the Village Manager.
Skills:
  • Excellent written and verbal communication skills.
  • Strong organizational skills to manage multiple tasks efficiently.
  • Proficient in data entry with a keen eye for detail.
  • Proficient with Microsoft Office Word, Excel, and PowerPoint, Adobe Acrobat, Google Drive, and Social Media.
  • Basic marketing experience, including social media and website management.
  • Experience with accounting and payroll processing software, knowledge of governmental accounting a plus.
  • Ability to work collaboratively as well as independently, multi-task, establish priorities, and meet deadlines.
  • Strong interpersonal skills with internal and external contacts.
